An online retailer moved its plugin pile into one operating system
The storefront worked. Everything behind it, stock, supplier paperwork, returns and reporting, lived in plugins and spreadsheets that each held a different version of the truth.
The short answer
An online retailer had a working storefront and a pile of plugins behind it for stock, supplier documents, returns and reporting, each with its own data. SpinFlow built one operations platform where the order is the record: stock movements, supplier paperwork, returns and dashboards all read from it. The storefront stayed in place, the build ran inside the standard two to eight week window, and reporting stopped depending on exports.
The stack that went away.
- Stock tracking split between a plugin and a spreadsheet
- Supplier documents held in email threads and shared folders
- A returns process run manually from the inbox
- Reporting rebuilt by hand from exports each month
The situation
Selling was not the problem. Knowing what had been sold, what was left, what a supplier had agreed and what had come back was the problem, because each of those answers lived somewhere different.
Month end was a rebuild rather than a read. Somebody exported from several places and reassembled a picture that was already out of date by the time it was finished.
What we built
An operations platform where the order is the single record. Stock movements, supplier documents, returns and the numbers on the dashboard all derive from it rather than being kept in parallel.
Document generation for supplier and customer paperwork, so the same details are never typed twice, and approval steps for anything that commits money.
Dashboards that are live rather than assembled, so the question what is our position right now has one answer on one screen.
How the build ran
The storefront was left alone deliberately. There was no reason to risk revenue to fix the back office, and nothing about the customer facing purchase flow had to change.
Work was scoped and quoted before it began, then delivered in the standard two to eight week window depending on how much moved in at once.
What we can show you
A live walkthrough of the order to stock to reporting path, and the documents the platform generates, with client detail removed.
Any figure we quote in a sales conversation is one we can show on screen. Nothing on this page is modelled or illustrative.
Capabilities used in this build.
The paperwork side of a build like this.
Every engagement starts with a written quote document. This is the same layout a client receives, with the client detail removed, so you know what you are signing before you talk to anybody.
